How we collect, use, store and protect your personal information — in line with the New Zealand Privacy Act 2020.

This Privacy Policy explains how Lyall Bay WorkHub (operated by John Hussey trading as Lyall Bay WorkHub — "we", "us", "our") collects, uses, stores, discloses and protects your personal information. We handle personal information in accordance with the Privacy Act 2020 and its Information Privacy Principles.
It applies to everyone we deal with — visitors to our website, people who enquire or book a free trial, and members who use our coworking, business address, or personal (individual) address services.

What we collect
Depending on how you interact with us, we may collect:
- Contact details — your name, email address, phone number and (for members) billing details.
- Identity verification (KYC) information — a copy of a current government-issued photo ID (such as a New Zealand driver licence or passport), and our record of having sighted or verified it. For overseas members we may instead accept a certified copy or an electronic identity check.
- Business/entity details — for company or business members, the company name, New Zealand Business Number (NZBN), and the name and ID of the signing director or authorised person.
- Mail and parcel information — details of letters and parcels we receive for you (such as sender, addressee and delivery details) and, where you ask us to open and scan your mail, the contents of those items.
- Payment information — the bank account and payment reference used for your fees. We do not store full credit-card details.
- Website information — anything you submit through our website forms (for example a contact or free-trial enquiry), and basic technical and analytics information (such as your device, browser and pages visited) collected through cookies and similar tools.
- CCTV footage — our shared spaces are monitored by CCTV 24/7 for security; if you visit the premises you may be recorded.
How we use your information
We use personal information to:
- provide and administer the services you have signed up for;
- verify your identity as part of our onboarding and record-keeping;
- receive, hold, notify you about, and — on your instruction — open, scan, forward or dispose of your mail and parcels;
- invoice you and manage payments;
- keep our premises, members and systems secure;
- respond to your enquiries and bookings;
- improve our website and services; and
- meet our legal obligations.
When we open and scan your mail
We only open, scan or photograph the contents of your mail when you instruct us to (this can be a one-off or a standing instruction). We send scans to the email address you give us, and then hold, forward, recycle or securely destroy the item as you direct. You are responsible for the instructions you give us, including which items are opened.
Who we share it with
We do not sell your personal information. We may share it with:
- Postal and courier providers — when you ask us to forward or redirect your mail (this may involve sending items, including internationally, to the address you nominate);
- Our payment provider and bank — to process your fees;
- Our professional advisers (such as accountants or lawyers) where reasonably needed;
- Government agencies or other parties where we are required or authorised to do so by law (for example a lawful request from an enforcement agency, or — for a business member who lists us as their registered office — notifying the Registrar of Companies that consent to use the address has been withdrawn).
Storage and security
We hold personal information securely and limit access to those who need it to do their job. Identity documents and scanned mail are stored securely and protected against loss, misuse and unauthorised access. No system is completely secure, but we take reasonable steps to protect your information.
How long we keep it
We keep your information only as long as we need it for the purposes above or as required by law. Identity-verification records are kept while you are a member and for a reasonable period afterwards, then securely destroyed. Scanned mail is handled and retained according to your instructions.
Your rights
Under the Privacy Act 2020 you have the right to access the personal information we hold about you, and to ask us to correct it if it is wrong. To make a request, contact us at info@lyallbayworkhub.nz. We may need to verify your identity first, and we will respond within the timeframes the Privacy Act requires.
Cookies and website analytics
Our website uses cookies and similar technologies to make the site work and to understand how it is used. You can control cookies through your browser settings; turning some off may affect how the site works.
Complaints
If you have a concern about how we have handled your personal information, please contact us first at info@lyallbayworkhub.nz so we can try to put it right. If you are not satisfied, you can complain to the Office of the Privacy Commissioner (privacy.org.nz).

We may update this policy from time to time. The current version will always be available on this page, and the "Last updated" date above shows when it last changed.
